Summary: Seeking an Administrative Assistant III with expertise in Excel and Smartsheet for project coordination and administrative tasks.

  • High school diploma or equivalent required

  • Minimum 2 years of related experience preferred

  • Certification in assigned area preferred

  • Proficiency in Excel and Smartsheet necessary

  • Flexibility to handle both administrative and project tasks

Responsibilities:

  • Perform general administrative duties including photocopying, coordinating meetings, typing, faxing, ordering supplies, arranging travel, and preparing/sorting mail

  • Serve as a point of contact within the organization for customers

  • Answer questions related to established policies and procedures

  • Coordinate projects/assignments independently using internal/external resources

  • Assemble/distribute materials; compile/track data; verify data accuracy

  • Make decisions within guidelines on planning, organizing, and scheduling work

  • Create/type routine documents ensuring grammatical/spelling accuracy

  • Manage confidential information appropriately

  • Review reimbursement documentation; submit vendor requests; follow up on missing information

  • Research payment status; generate/send out COS as needed

  • Provide specialist support and coverage when necessary

  • Coordinate banner orders, trip kits, course supplies

  • Manage central inbox; process HCP COS forms/reimbursement requests timely

  • Support local program requests including MRF creation in GMM and engagement creation in ENGAGE

  • Update SmartSheet ensuring program checklists are complete



Pay Details: $20.00 to $25.00 per hour
