SUMMARY: The Administrative Assistant II will coordinate and perform all administrative functions supporting management and departmental staff as required. The candidate will exemplify a “can do” attitude utilizing tenacity and a mindset to help others be more efficient and effective. This is a temporary position.  
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Perform transfer of quality system documents from one content to another.
• Coordinate and maintain daily schedule for management and departmental staff as requested.
• Efficiently triage incoming calls and distribute to the appropriate staff.
• Maintain proper phone coverage at all times.
• Perform general administrative duties (i.e., messages, photocopies, faxes, expense reports, Federal Express shipments and accounting functions).
• Prepare and proofread correspondence and confidential documents.
• Perform administrative aspects of departmental projects.
• Create and maintain physical and electronic files in an orderly and sensible fashion.
• Ensure that all pending matters are referred to appropriate management levels and perform follow-up as needed.
• Track deadlines in coordination with appropriate management and staff to ensure that all deadlines are met in a timely fashion.
• Schedule and set up meetings, conference rooms, interview schedules, VIP/MVPs, and catering.
• Maintain a high level of business etiquette in receiving customers and guests.
• Maintain total confidentiality in all matters of correspondence, telephone messages, and personal conversations.
• Order and maintain adequate supplies using good fiscal judgment in all purchases.
 
Requirements:
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and EXPERIENCE REQUIREMENTS:
High school diploma plus three to five years of related business experience with similar job skills. Some college level course work preferred.
Top three must haves:
• Excellent organizational and communication skills
• Proficiency with MS office
• Ability to handle spontaneous changes in priorities  
OTHER SKILLS and ABILITIES:
• High proficiency with MS Office to include, Word, Excel, Outlook and PowerPoint
• Experience using Agile Product Lifecycle Management System
