Job Description:
• Standard office duties, including typing, filing, file maintenance answering phones, Internet/Intranet research, setting up and maintaining files, ordering supplies and equipment, photocopying documents and handling incoming and outgoing mail.
• Utilize problem solving techniques, tact and discretion when handling day to day responsibilities and managing other requests for information. As the “hub” of the site, is expected to maintain good relationships with peers and across other teams.
• Answer telephone, greet visitors, direct calls and visitors to appropriate party
• Route, update and manage work requests/ orders for Facilities team
• Process, track and record invoices for payment
• As member of Emergency Response Team, assist with emergency evacuation procedures
• Books conference rooms for large and small meetings
• Place orders for office and operating supplies
• Complete other duties and responsibilities as requested by Facility Supervisor
• Conduct tours and assist with Facilities orientation for new hires (badge policy, security and emergency procedures, etc.)
• Update and maintain telephone extension lists, email distribution lists, directories
• Manage security system
• Monitor security cameras
• Liaison for Facilities Department vendors, including Housekeeping staff
• Receive incoming catering, direct to appropriate party
• Conduct special projects as directed.
• Assist other departments with special projects when approved by Facilities Supervisor
• Other administrative and support duties will be asked as necessary.
Top three must haves: Great communication, great interpersonal skills, ability to multitask.
• High School diploma or GED.
• 3+ years clerical/administrative experience
• Proficiency with MS Outlook, Word, PowerPoint, Excel.
• Excellent written and oral communication skills.
• Proficiency with software packages such as SAP, Expense Express, Adobe, SharePoint, sales/marketing databases a big plus.
• Excellent organizational skills required with ability to prioritize in a fast-paced, ever-changing environment.
• Excellent proofreading and composition skills.
• Must maintain a high level of confidentiality.
• Able to interface with all levels of management.
• Decision making and problem solving skills.
• Excellent interpersonal skills, ability to work well with others.
• Ability to adapt to changing requirements and priorities.
• Present a professional, well-groomed image.
• Ability to function well under pressure, and expend effort to meet schedules and deadlines.
• Good organizational skills – plans work, executes plan and maintains organized work area.
• Responsive problem solver and action oriented.
• Willingness and ability to assume increasing responsibility.
