Job Description:
Provides administrative support to executive-level individuals. Responsibilities may include screening calls, scheduling, making travel and meeting arrangements, typing correspondence, preparing reports and financial data, training and supervising other support staff and managing confidential information in a professional manner. Prepares reports as needed. Schedule and coordinates all required resources for meetings. Handles additional administrative tasks as necessary.
Work with VP's admin to support as needed o LMS Training - Training is SUPER important. Please keep up to date on all training required.
Executive Admin Accountabilities:
o Daily Calendaring Tasks – AGIS Senior Leadership Members
o Review Calendar daily to ensure no double bookings (move things as appropriate)
o Reoccurring Meetings (schedule and maintain all reoccurring meetings)
o Schedule ad hoc meetings as needed
o Expense Reporting
Book Travel Team Admin Accountabilities:
o Distribution List – Manage and maintain all
o Order meals as appropriate for meetings
o Book Rooms/Set up and prep for large meetings
o Manage AGIS Team Calendar
o Schedule ALL AGIS Team Reoccurring Meetings
o CenterPoint Facility Prep Support/Supplies
o Liaison to CenterPoint front desk and Jodi
o Distribute meeting notes/status
o Special Projects as assigned
 
Requirements:
Must be able to interface well with all departments of the company and to represent the executive officer in a highly professional manner. Strong communication skills and multi-tasking capabilities are essential. Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
