Job Description:
Our customer is looking for a Admin Assistant to performs administrative duties for leadership team – including VP, Sr. Director, and Directors as well as supporting the day to day requests of the broader operations team.
• Completes project work as required including the development of presentations, complex metrics reporting, and professional written correspondences.
• Routinely make complex travel arrangements including but not limited to: domestic and international flights, hotels, and ground transportation.
• Plans large scale events including the coordination of logistics, catering, venue reservations, contracts, entertainment, calendar management, etc.
• Composes and/or transcribes routine correspondence, letters, and memos. May proofread for grammatical construction, spelling and flow, and distribute to appropriate personnel.
• Receives incoming mail, faxes, telephone calls and visitors and routes to appropriate department staff by exercising judgment regarding content and priority.
• Assists in the preparation of reports, graphs, and presentations using spreadsheet and graphic software.
• Acts as an informed source of company policies and procedures by answering routine questions or routing to appropriate employees for answers.
• Schedules appointments and maintains up-to-date appointment calendar; ensures that the executive is informed at all times of scheduled commitments.
• Conducts all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational data by storing documents carefully and not disclosing confidential information except on a need-to-know basis.
• Orders office supplies and equipment, and performs or arranges for routine maintenance of basic office equipment.
Education/Experience/Skills required to successfully perform the above duties/tasks:
• High School degree required
• 3+ years of related work experience required
• Information systems experience preferred
• Proven experience in providing administrative support to Director/Sr. Managers in a fast-paced organization with multiple priorities.
• Experience handling of sensitive or confidential information.
• Strong communication skills (written and oral) and interpersonal skills with ability to work across multiple levels of an organization.
• Previous administrative assistant experience supporting multiple team members with event coordination, travel and expenses.
• Advanced Excel & PowerPoint – position will generate reports and graphs via pivot tables and aid in creating presentations.
• Strong sense of responsibility and urgency as well as attention to detail.
• Strong customer-service orientation and professional demeanor.
• Excellent communication (oral and written) skills and the ability to communicate effectively with internal and external stakeholders at all levels.
