Job Description:
Independently performs complex and diverse administrative duties. Activities include supporting two Senior Directors and their teams in Deep Brain Modulation. The functional areas are Clinical Research and Product Development. This position will have visibility to critical and time sensitive information requiring considerable use of tact, diplomacy, discretion and judgment to the Clinical Research function.  
Position Responsibilities
Provide administrative support for Sr. Director Clinical Research and Sr. Director Product Development and their leadership teams including:
• Manage calendar in Outlook including daily shifts due to incoming priorities, scheduling new meetings and travel plans
• Manage scheduling of meeting series for weekly, biweekly and monthly meetings.
• Provide meeting coordination and support for large and small meetings including ensuring participants have agendas in advance, scheduling in rooms with required equipment, arranging catering (if applicable), setting up video and teleconference calls via telepresence technology and WebEX.
• Ensure meeting materials or materials for review are printed from appropriate website, e-mails or calendar appointments are printed and provided in advance of meeting with appropriate time for review
• Coordinate and integrate inputs from multiple individuals into a singular document for distribution with minimal oversight
• Communicate with customers, senior leaders and department employees – communicate verbally, in writing – and maintain confidentiality
• Multi-task and manage through issues proactively. Provide appropriate information to Senior Directors and contacts (handle questions, issues and follow ups)
• Assist in preparation of word document, spreadsheets and presentations via Microsoft Office
• Handle telephone roll-over calls for group (internal and external)
• Maintain filing systems, order supplies and equipment and manage expense reporting
• Create and maintain rosters, manuals, reports access rights, presentations, status reports
• Lead specific projects as assigned
• Apply knowledge of business and department objectives and priorities
• Serve as an information resource on organizational practices, policies and procedures
• Ensure personal understanding of all quality policy/system items that are applicable to the department
• Follow all work/quality procedures to ensure quality system compliance and high quality work
• Maintains a high level of consistency through all work processes
 
Requirements:
Top 2 must haves:
Primary #1 is experience with Outlook calendar (moving appointments, scheduling new ones -will need to connect with admins for other), #2 Microsoft Office suite. NOT looking for people with receptionist, filing only type backgrounds.  
Basic Qualifications
• High School Diploma or equivalent.
• 5+ years of administrative experience.
Desired/Preferred Qualifications
• Frequent use and intermediate/ advanced knowledge of word processing, spreadsheet and graphics presentation applications, electronic meeting/calendar coordination, travel planning, and budget/cost center management.
• Strong attention to detail
• Strong interpersonal skills
• Two or four year degree or vocational training
• Advanced phone system experience
